SUMMARY职位概述

The Vendor Compliance Officer consolidates information, follow-up on a daily basis each batch of our overseas customers’ Purchase Orders, Parts Orders and provides real-time and accurate reporting to customers, factories, and First Oceans staff as needed, in a summarized format. Serve as a contact point and facilitate communication between vendors and inventory group in Canada.

对我们海外客户(即加拿大母公司The Brick)所下的订单,补件进行信息汇总,跟进,并向客户、供应商和同事、部门之间提供及时、正确的反馈。该职位起到桥梁作用,协调使得供应商和加拿大供应链相关部门的沟通更为顺畅。

ESSENTIAL DUTIES AND RESPONSIBILITIES工作职责

1. PO MANAGEMENT订单跟进与管理

· Follow up the purchase orders from placement, production schedule, actual assembly, packaging, vessel booking, container loading till the effective ship on board

跟进订单的整个流程,从下单、生产计划安排、产品组装、包装、订舱、装柜直至出货

· Follow up and ensure that vendors purchase the correct raw materials in a timely manner, in the correct quantities and in the correct color/pattern

确保供应商及时采购面料/原材料以备生产,并且按照我们的颜色、式样要求,以及符合我们质量标准

· Ensure that the purchase orders are placed as per agreed lead-time conditions and are acknowledged, handled and produced as per the customer’s requirements

确保工厂及时确认所收到的订单,并且按照约定的交期和客户的要求进行及时处理、安排生产

2. INVENTORY MANAGEMENT供应链/物流/库存管理和跟进

· Anticipate and avoid any delays, find out root causes of potential issues, provide solution to avoid future problems and escalate in advance to the manager and/or customers for instructions

发现并提出有可能造成的延期,及时避免延期的发生,找出潜在的问题根源并提供解决方案以避免由此带来更多的问题,将发现的情况提前向经理及客户反馈

· Guarantee the POs are shipped on time, as per head office’s requirements

根据客户的要求确保订单准时出货

· Ensure that shipments are done according to the shipping schedule populated from the sales and promotion plan in Canada

确保根据加拿大的销售和推广计划的安排完成出货

· Coordinate the factories and the freight forwarders, measures their shipping performance (KPI) and issues reports to customers and Manager on a regular basis

协调工厂和货代之间的工作,定期将出货表现和情况反馈给直属上司以及客户

· Review inventory level and assortment plan on a weekly basis to ensure products are in stock and make recommendations to advance or slow down shipments according to actual sales

查看每周库存情况和未来下单计划,以确保产品均备有现货,并提出建议提前或按实际销售放缓出货

· Download the 13-week report every week, analyzing the inventory level of each vendor, work with the vendors to meet the Brick’s request on cancellations, postponements and other changes to support the stock level

每周下载13周报告,分析产品库存情况,如遇母公司The Brick作出取消订单、延期出货或其他变动时应协调供应商以作出相对应调整

3. VENDOR COMPLIANCE供应商管理及跟进

· Preliminary factory audit/evaluation before business start; random visits to vendors to update production capacity, workforce, working environment

业务开始之前对工厂进行初步评估,随机到访供应商处对他们的产能、用工情和工作环境等情况适时更新

· Debrief new vendors on The Brick’s Vendor Compliance Program

当有新的合作供应商时,传达Brick对供应商的要求

· Train new vendors on using The Brick’s PO management system (Web form)

培训新的合作供应商如何使用The Brick的订单系统平台

· Ensure that vendors comply 100% with the Company’s requirements (Shipping performance, penalties for shipping discrepancies, law labels, bilingual proper documentations, shipping marks, etc.)

确保所有供应商遵守并达到The Brick各方面的要求(比如出货业绩、有哪些出货差异情况会被要求罚款、法律标、需要用到双语的文件或标识以及唛头等)

· Measure vendors’ compliance accuracy and take action to improve compliance

适时评估供应商是否按照Brick要求,并采取行动落实提高供应商的规范操作

· Implement/improve vendors’ Quality standards compliance

提高供应商的质量标准认知度并落实到各个方面

· Ensure that vendors have updated in a timely manner the PO management system on a scheduled basis (acknowledgement of POs, PO changes, ASNs, electronic invoices)

确保供应商及时更新订单管理系统里各项信息情况(订单确认、订单变动、出货通知、电子发票)

4. PARTS ORDERS FOLLOWING UP补件跟进

· Login in LimeTac and to acknowledge the parts request, keep them in our records

登录补单系统下载补件信息,做好记录

· Forward the parts request to factories, and coordinate to clarify if there is any issue

将补件发给工厂,确认是否对补件有疑问

Regular update of above feedback will be provided to TGS and confirm back to the factories

将待确认的补件信息反馈给TGS,并确认回工厂

· Update the shipment information in LimeTac

将补件出货信息更新到系统

· Reply notifications emails for shipment status update

对补单确认、出货等情况及时和TGS沟通联系

· When we know some items will be discontinued, we will notify TGS to make earlier preparation for parts ordering

如遇某些产品即将停产/不出货给Brick,应提早通知TGS做好提前下补单准备
